How to use this sheet

  1. Print the PDF and keep it in your vehicle — glove box, center console, or visor clip.
  2. At the start of every business trip, write the date and starting odometer.
  3. At the end of the trip, write the ending odometer and calculate miles: end minus start.
  4. Write the destination and the business purpose — 'Client meeting: Acme Corp' or 'Supply run: Home Depot, job site materials.'
  5. At the end of each row, add the trip miles to the YTD total. This running total is what you report on Schedule C or your expense system.

What qualifies as a business mile?

Driving between work locations, to client sites, to meetings, or for business errands generally qualifies. Commuting from home to your regular place of business generally does not. Consult a tax professional for your specific situation — IRS Publication 463 covers transportation expense rules.

The IRS requires records showing the miles driven, the date, the destination, and the business purpose. Odometer readings are the most reliable way to substantiate miles if records are ever examined — they're recommended even if not technically mandatory.
